What Documents Do You Need to Bring to a Notary?

Arriving at your notary appointment properly prepared is the single most important thing you can do to ensure a smooth, efficient experience. This checklist covers everything you need to bring — and the one thing you absolutely must NOT do before you arrive.

Essential Checklist

1. Valid Photo Identification

A valid passport is the gold standard for notary appointments. A passport is universally accepted and provides the highest level of identity verification. A current driving licence is also acceptable as an alternative or supplementary form of ID.

The Notary Public is legally required to verify your identity before performing any notarial act. Without valid photo ID, the appointment cannot proceed.

2. Proof of Address

Bring a recent document showing your current address:

  • A utility bill (gas, electricity, phone) dated within the last 3 months
  • A bank or credit card statement dated within the last 3 months
  • A Revenue notice or social welfare document

3. The Document(s) to Be Notarised — UNSIGNED

Bring the document(s) that need to be notarised. If the document requires your signature, do NOT sign it before your appointment. The Notary Public must witness you signing the document. This is a strict legal requirement — if you arrive with a pre-signed document, it may need to be reprinted so you can sign again in the notary's presence.

4. Instructions from the Requesting Party

Bring any instructions, letters, emails, or checklists you have received from the foreign authority, embassy, overseas solicitor, or institution that requires the notarised document. This helps the notary ensure all specific requirements are met and the correct format is used.

5. Original Documents (for Certified Copies)

If you need certified or notarised copies, bring the original documents so the notary can compare the copy against the original.

6. Any Supporting Documents

Depending on your specific matter, you may need:

  • Corporate documents (certificate of incorporation, board resolution authorising you to sign)
  • Previous notarised documents (if the current notarisation relates to an earlier transaction)
  • Power of attorney form provided by a foreign notary or authority
  • Certified translations (if the document is in a foreign language)

The Golden Rule: Do NOT Sign Before Your Appointment

We cannot stress this enough. The Notary Public must witness your signature. Arriving with a pre-signed document means the notary cannot certify that the signature is yours and was made voluntarily. In most cases, the document will need to be reprinted so you can sign a fresh copy in front of the notary. This wastes time and can be frustrating — so leave the signature for the appointment.

  • Allow enough time — don't rush the appointment
  • Bring printouts — even if you received instructions by email, a printout is helpful
  • Check your passport hasn't expired — an expired passport won't be accepted
